How to Hire a Computer System Validation (CSV) Consultant

What the role covers, what to screen for, and the interview questions that separate hands-on validation experience from keyword-matched résumés.

Computer system validation sits where quality, IT and regulatory meet, which is exactly why it's hard to hire for. A strong CSV consultant can take a laboratory system, MES, ERP module or cloud application from requirements through release with documentation an inspector will accept. A weak one produces paperwork that looks complete until someone asks why a test was written the way it was.

What the role actually covers

Expect a CSV consultant to own or contribute to the validation plan, user and functional requirements, risk assessment, IQ/OQ/PQ protocols, test execution, traceability, deviations and the summary report. In regulated pharma and device environments the work is framed by 21 CFR Part 11 for electronic records and signatures, EU Annex 11 where it applies, and ISPE's GAMP 5 framework, now in its second edition. Many teams are also moving toward FDA's risk-based Computer Software Assurance thinking, which shifts effort from exhaustive scripted testing toward critical thinking about what actually affects product quality and patient safety.

What to screen for

  • The systems they've validated, not just the industry: a chromatography data system, an MES and a SaaS QMS are very different jobs
  • Whether they wrote risk assessments and protocols or only executed someone else's
  • How they handled a failed test or a deviation, step by step
  • Comfort with both scripted testing and risk-based, unscripted approaches
  • Experience on the IT side (infrastructure qualification, data integrity, audit trails, backup and restore)

Interview questions that work

  • "Walk me through how you decided which requirements needed formal scripted testing on your last project."
  • "An audit trail review shows a result was modified after approval. What do you do first?"
  • "How would you validate a vendor-hosted cloud application where you don't control the infrastructure?"

Good answers are specific: system names, the decision they made and why. Generic answers about "following the SOP" are the tell.

Contract or permanent?

Most CSV demand is project-shaped: a system implementation, an upgrade, a data integrity remediation or an inspection-readiness push. Contract consultants fit that well and bring experience from other sites. If you're building a validation function that will run continuously, contract-to-hire lets you confirm fit before committing.
